One-Off Tasks

One-Off Task is for adding a quick Task ONLY when there is a  massive time crunch (and adding a New Standard Task Rule is considered time-consuming). Warning: One-Off Tasks are not ideal for reports because they can not be filtered.

Access the One-Off Task feature

  1. In Master CalendarScheduling CalendarScheduling List click the Actions button.
  2. Click on +Add One-Off Task.

OR

  1. On the Issues page when an issue exists click on the Manage button in the status/manage column.
  2. On the Manage button drop down menu click on +Add One-Off Task.

Add a Task

Enter all the information about the Task

1. Use the Property Name drop-down menu to select the property needing a task to be completed.

Note: Add non-rental properties to accommodate tasks that are not associated with a rental. For example, add a property called 'office' if you want to add 'Deep clean office carpets' as a monthly task.

2. Enter the Task Name such as Bring CribThis name will appear throughout the program. 

3. Assign a  Task Abbreviation such as Crib. This abbreviation will appear on the drag and drop scheduling calendar.

4. Enter the  Time desired for this task to be started. This is not a required field but is used to restrict the time frame in which the task must be done before notifications are sent.

5. Enter Hours to Complete.  This feature is used for workload balancing of Staff.

6. Enter   Complete by Date.  This shows the furthest out you can drag the task, as well as the date when the task is considered overdue (alerts generated).

7. Enter Complete by Time. The time the task is considered overdue for alerts. 

8. Enter  Instructions for your staff. Instructions will show up on the Staff dashboard and must relate clear directives such as please bring a crib with a clean mattress, mattress cover, rail padding, and a fitted sheet.

Choose the Issue Form Settings

Choose the issues boxes to include on the staff dashboard.

Assign the Task to a Staff 

  1. Assign a Lead Staff to the One-Off Task by choosing the Lead Staff from the Staff Drop Down Menu.  This will auto-assign the task to this staff. If the Staff is unavailable the Task will be auto-assigned to the 2nd staff.
  2. Send Notice to Assigned Staff on Save
  3. Click  Add Task.
