Switching from API to iCal Connection

This article outlines the steps to take in Operto Teams when switching from a PMS API Connection to an iCal connection.

Switching from Property Management Software to iCal connection

Important: Before connecting via iCal you will need to obtain all applicable iCal links. For example, if the Property is listed on Airbnb and VRBO , you will need both iCal links to pull all Bookings into Operto Teams.


iCal Setup

  1. If you do not already have the ability to enter iCal links in your account, email help-teams@operto.com to request that the functionality be turned on. Once turned on, follow these instructions to enter the iCal links in the applicable Property record.  
Important: It is strongly recommended that anytime iCals are adjusted, or added, the Master Calendar be thoroughly reviewed for possible errors.

 Very Important: Use the double bookings on your Master Calendar to make sure all iCal bookings are importing into Operto Teams

On the Master Calendar go through and make any new already checked in PMS double bookings inactive

  1. Move the newly created tasks to the same person and day as the legacy tasks and move any specific task or booking notes into the newly generated tasks and bookings. The old tasks and bookings will be deleted and not be able to be recovered.
  2. Deactivate the old tasks that match the new tasks that were just moved
  3. Go to Setup --> System Settings and disconnect the PMS connection. Then contact us at help-
  4. teams@operto.com to request that the connection and bookings be removed.
  5. Do a thorough review of the Master Calendar and Scheduling Calendar to make sure every reservation has the correct tasks, and no Tasks are in the Unassigned area.  
Tip: When matching up notes, view Bookings on the Bookings page and Tasks on the Scheduling List page to easily identify and transfer notes, or verify all notes have been transferred.
