Vendors

Vendors can view bookings and Issues.  Vendors cannot be assigned Tasks or view Booking Notes. Typical Vendors include landscapers, hot tub vendors, etc.

Tip: If you have a vendor that also uses Operto Teams (we work great for Hot Tub companies!), we can attach your accounts so that the bookings are shared between companies and the property manager can view the Vendor's completed tasks on their Master Calendar. Add or Edit Vendors

  1. Turn on Vendors in Setup --> System Settings
  2. Navigate to Setup --> Vendors
  3. On the Vendors page +Add Vendor button.
  4. or Click on the Edit (pencil) button in the Edit Column of the Vendor Table.
  5. Review, edit or export Vendor information after Setup in Setup --> Vendors Use the Bulk Edit Notice Settings to quickly edit settings for multiple Vendor records 

Add Vendor Information

  1. Enter the Vendor Name.  The name entered in this field is used throughout the program on the Vendor dashboard, Master calendar, reports etc.  
  2. Enter the Vendor's Email address
  3. Check the Email Notifications checkbox to opt this Vendor into receiving emails. Vendors can turn this off on their dashboards.
  4. Enter the Vendor's Mobile Phone number.
  5. Check the Text Notifications checkbox to opt this Vendor into receiving texts. Vendors can turn this off on their dashboards.
  6. Choose the appropriate Date Format
  7. Add any applicable notes under Manage Vendor Information

Dashboard

Check the boxes in this list to customize the information available on this Vendor's dashboard.  Options include Guest Name, Guest Email and Phone Number, Number of Guests (Pets and people).  Read Vendor 

Unscheduled Tasks and Issues Form

Unscheduled Task or Issues are created by the Vendor and completed by the Vendors. This feature can be used by specific Vendors to identify a non-standard task that they encounter in the field, and complete, such as "remove dead packrat from crawl space". Once the Unscheduled Task or Issues option is checked then choose a Task Name and select additional Issue Options including adding Notes, Notification, and Images. The Unscheduled Task will show on the Master Calendar as completed. 

Booking List 

  1. Choose the number of booking days you would like the Vendor to view on their dashboard. 
  2. Set up the schedule (frequency and timing) to email this Vendor the booking list for assigned properties.  Auto-send weekly or monthly booking lists on a set number of days before the booking dates.  Any new bookings that come in after the email, but within the date range will be auto-send to the Vendor highlighted within the list.

Check the properties to include in the booking list that appears on this Vendor's dashboard. 

Tip: Use the Export and Import CSV buttons to easily export all Vendor records, make changes, and then import the same file back into Operto Teams.
