Enhanced Master Calendar User Guide

The Master Calendar is your 10,000-ft. view over what is going on with your properties.  Reviewing the Master Calendar is part of our Recommended Daily Procedures

Master Calendar Format

  • The properties are listed down the left and organized by region.  The regions are color-coded. 
  • The calendar dates are listed across the top. 
  • The bookings for each property will be imported into Operto Teams, and are displayed on the calendar as bars with a color indicator representing the properties' region.
  • Underneath the bookings are the Tasks scheduled for the property.  The Tasks are auto-scheduled based on your Task Rules. Task Rules can be based on Check-in, Check-Out, Mid-stay, Mid-vacancy and on a set schedule.  You can also enter rules for upsell items like Gift Baskets or Pool Heat.  Everything you see on this calendar has been auto-generated, with absolutely no data entry.
Note: The Master Calendar is the only place where you can view the bookings and tasks at the same time. It is very important to review this area for accuracy daily.

Master Calendar Features

From the Master Calendar issues are visible and manageable. 

  • Open Issues are accessed by clicking on the hotlink next to the Property name to open the Issues page. 
  • Current occupant status, as well as the most recent tasks completed, can be easily reviewed.
  • Bookings and tasks are clickable for ease of editing.
  • When in 30-day view hold down shift to scroll horizontally day by day from left to right.

Tip: Master Calendar Note - From the Actions button (plus symbol) use the note option to record information that needs to be lightly tracked such as carpet cleaning or window washing from a separate contractor.

Calendar Filters

Filters in the Show area control the calendar density and what options are displayed.

Sticky Filters in the Filter box sort the bookings and task data and "stick" the filter across multiple calendars. See articles on Property Tags, DepartmentsProperty Statuses, Regions and Region Groups for more information.  

Note: Once you select a filter you must click Clear to remove it. If something is missing from the Calendar click Clear to ensure a filter is not activated.
Tip: When in Month View Press and hold the Shift key while clicking on the calendar to enable scrolling left to right

Help Key

The Help Key is located in the upper right-hand corner of the page. 

Click on the question mark icon and the key to colors and icons will appear.

Tip: For the broadest calendar view set the density to Small in the Show filter area and collapse the properties panel
